Wedding & Marriage Support Coordinator

The Falls Church Anglican (TFCA) is seeking a contractor whose responsibility will be to coordinate the wedding process, weddings and marriage-related events. This role collaborates with church staff and ministry partners to ensure excellent planning, communication, and execution for these types of events.
DUTIES AND RESPONSIBILITIES
Marriage Events Management (i.e. seminars and conferences)
Plans and implements all aspects of Marriage Events, to include, but not limited to:
- Provide proposals for events and speakers for approval by the clergy
- Coordinate scheduling for approved events and speakers
- Manage arrangements and contracts for guest speakers
- Coordinate with Facilities for building management and access, room set-up, signage, and traffic management
- Coordinate with Production for sound, visual, and lighting needs
- Coordinate with IT for wifi and equipment support
- Coordinate food and beverage service
- Manage registrations and respond to participant questions
- Coordinate with Children and Family Ministries for childcare support
- Coordinate for volunteers where needed – greeting, facilities, hospitality
- Coordinate with Events Manager for assistance with security scheduling
- Coordinate with TFCA Communications for event promotion and event materials design, and determining in-house or printing services
- Manage registrations and respond to participant questions
- On behalf of TFCA, purchase all supplies, food, and gifts
- Manage day-off event logistics and be the point person throughout the event
- Create after event summary report
Coordination of Weddings
General Coordination:
- Create and/or maintain processes, plans, and templates for onsite and offsite weddings
- Create and/or maintain wedding planning guides and information for couples, in coordination with communications team
- Organize, maintain, and restock wedding resources
- Recruit and coordinate volunteers to lead and assist with weddings
Specific Weddings:
- Serve as point of contact for engaged couples and other internal and external ministry partners
- Facilitate meetings between the engaged couple, clergy, and Worship Director.
- Work with Pastor of Congregational Care and presiding clergy to collaborate on wedding details
- Coordinate with designated Wedding Team Lead, Facilities, Events Manager, Worship, and Production to assure all details are taken care of. Includes updating electronic internal communication (spreadsheets, calendars, facility schedulers etc.)
- Prepare required documents
- Communicate with Congregational Care to update the Sunday prayer card
- File marriage documents in-person with the court after wedding, or mail marriage documents if the license was obtained outside the Arlington/Fairfax/Alexandria area
Pre-Marriage and Marriage Mentor Coordination & Management
- Recruit new mentors through quiet vetting process
- Provide ongoing training opportunities
- Seek appropriate resources
- Track use of mentor couples
- Manage Mentor/Mentee contracts
- Manage reimbursement requests from mentors
- Assist clergy in matching mentors and mentees
- Coordinate clergy and mentor introduction meetings
General
- Track budget and expenses in accordance with our financial processes
- Generate financial reports as requested
Skills and Experience
- Proven ability to collaborate and work well on a team.
- Strong administrative and event coordination skills; manages details, timelines, and participants
- Volunteer coordination experience (recruiting, scheduling, day-of support) preferred
- Intermediate proficiency with Microsoft Office and online tools; registration/database experience preferred
- Satisfactory background check
